ESR Forms Integration for the NHS

Cloud2 have developed e-forms for integrating the following processes into the ESR (Electronic Staff Record):travel expense claim eForm

  • Travel expenses
  • Timesheets
  • Sickness
  • Annual leave

All of the above forms have been developed using Microsoft InfoPath as a rich, XML based forms engine with Microsoft SharePoint as the storage repository. The end user is given access to the ESR compliant form via the SharePoint portal. The forms have in-built rich validation for key ESR data fields e.g. The travel expenses form validates the ESR assignment number, car registration etc and supports the addition of updating an individual’s car details for each user, frequent journeys, and processes for receipt management and various approval scenarios.

Once the user has completed the form and clicked on the submit button it for approval an electronic workflow is utilised to support the approval process.

All the related forms are stored in a single repository and it is therefore straightforward to build simple views and reports on the data submitted.

A Trust has the ability to aggregate multiple forms periodically into a batch file and drop this into an area managed by the NHS ESR Interface team. This team then validates the batch file and once approved an email confirmation is sent back to the Trust to confirm receipt of the file. The file then updates ESR and informs payroll as required.
