SharePoint Information Architecture for happier end users

IA Venn DiagramInformation Architecture within SharePoint is relatively unnoticeable when it does it’s job efficiently. Unfortunately, this often means that as an undesirable side-effect, when it goes wrong, end users become extremely agitated with it. When it works completely and there are no problems, it’s very easy to presume as a user that what is actually running smoothly is the design or a “well-configured search engine”. The poor beleaguered IA is either ignored or reviled.

According to Joe Sheply of CMS WiRE, the worst offenders for bad SharePoint Information Architecture are the business sector, noting:

“It’s safe to say that the lion’s share of documents in corporate America’s repositories are a mess and that end-users at those organisations are suffering the effects of the lack of effective IA.”

Listing the problems users encounter when faced with badly constructed Information Architecture, Sheply argues that a typical corporate SharePoint solution poses problems in version management, document management, duplication, poor information life-cycles, unregulated content leading to lost/untraceable/invisible files and data and inconsistencies in the metadata.

Orphaned data, input inconsistencies in both metadata and file naming conventions and unnecessary multiple copies of files are wasteful and time-consuming. They encourage users to dismiss a SharePoint solution in favour of less efficient but essentially more familiar ways of working, such as using paper documents or emails. In a busy corporate environment in 2011, this just isn’t feasible.

Hadron SA is our award winning, advanced SharePoint solution accelerator, incorporating sophisticated Information Architecture and document management within the build.

We have over a man year of development in Hadron SA, reflected in the sophisticated Information Architecture and components at its heart. The value of the intellectual property within Hadron SA is considerable and allows us to deliver a highly featured and effective SharePoint intranet, incorporating rich document management, collaboration and information retrieval in less than 12 weeks; sooner if you can keep up. Hadron SA also provides the platform for future phases and enhancements, such as our Rapid BI solution or our Clinical Centre.

Cloud2 partners Kodak introduce Scan, View and Modify webparts for SharePoint

Kodak have expanded their software packages by offering two new software products that will enable those using Microsoft® SharePoint environments to share, view, edit and search documents, as well as extending the benefits of SharePoint to include paper documents.

The software fits perfectly within many Document Management and Data Capture projects, and Cloud2 are delighted as partners to be a part of this exciting technological advancement in storing and editing data.

KODAK Document Viewer Software and KODAK Scan and View Software enable organisations and Trusts to use paper documents to trigger specific workflows, speed up existing processes and add more value to business operations. Web-based software programs make it easy to find, review, compare, annotate and scan documents from within SharePoint environments. Now Trusts can better manage document-driven workflows such as invoice processing, contract management or new contracts.

KODAK Scan and View Software supports document scanning and image enhancement directly within SharePoint. The integrated document capture functionality makes it an ideal solution for ad-hoc document scanning to SharePoint and works well with Kodak’s market-leading lineup of document scanners such as the KODAK SCANMATE i1120 Scanner or the KODAK i2400 Scanner. The software also provides support for TWAIN compliant capture devices.

Finally, the new KODAK Document Viewer and Scan and View Software are fully complementary to KODAK Capture Pro Software, which offers functionality that easily goes beyond ad hoc scanning and can automate metadata capture.Capture Pro Software is designed to work seamlessly with both SharePoint 2007 and 2010.

By utilising Capture Pro Software within our own Document Management systems and data management/content migration projects, transferring information from paper documents to computerised systems is efficient and user-friendly. As partners with Kodak, Cloud2 hope to bring the advanced usability of these programmes to any future projects they work on.

Can't get PDFs to open?

One of the things that frustrated me when we migrated our intranet from SharePoint 2007 to the shiny loveliness that is 2010 was that suddenly some files wouldn’t open directly in the browser anymore. Instead SharePoint insists on making you save them first. Bloody frustrating!

Surprisingly this is a design feature, not a bug.

And the solution is here:

The challenges of content creation vs. content discovery

In our development of the Hadron Solution Accelerator we hit the common problem of how to design a document library scheme that met the core needs for our clients. At the heart of this is a set of design goals, which can be simplified as:

  • A single place to access information
  • A simple means for creating/adding information (and a single place to save them to)
  • High system performance [Read more...]
